OFFICE ADMINISTRATION

As our business grows, so does the necessity of having the proper individuals within our office to continuing to ensure that our Customer's needs' are met with the proper expertise and knowledge necessary. Our friendly and efficient staff balance the needs of the customer and those of our own staff in a remarkable manner! Some of the duties noted, but not necessarily limited to are the following

  • Evaluate and analyze departmental requests to determine a comprehensive business solution to ensure connectivity with future developmental initiatives
  • Work with the business units and IT to determine project timelines
  • Report project list status periodically
  • Coordinate all project requests
  • Develop implementation plan for project rollout upon programming completion
  • Manage assigned projects through implementation
  • Maintain all Licensing, and Permit requirements for all Tractors, Trailers, and other company vehicles (titles, plates, registrations, VIN Plate Replacements, etc.)
  • Ensure all paper files, computer files, and procedure books are accurate
  • Prepare equipment logs and reports
  • Communication with Government licensing agencies; distribution and tracking of permits and licensing credentials
  • Reconciling invoices for Shop Repair Orders and Warranty items
  • Administer Worker's Compensation and Return to Work programs
  • Develop and maintain a working expertise on Worker's Compensation and Liability Insurance regulations in the states in which Waylon Transport does business
  • Manage the day-to-day Auto Claims program
  • Review and evaluate insurance company loss run reports; prepare monthly report for Director of Loss Prevention
  • Closely manage claims handled by our Insurance Carriers by frequently following up with assigned adjuster to ensure they are working the file in the best interest of our Company
  • Champion the Company cause and appropriately challenge accident scene Response Adjusters, Claims Representatives and Attorneys
  • Prepare regular reports that clearly and concisely update Corporate and Facility Leadership on the status of open Worker's Compensation and Auto Claims
  • Orchestrate regular Claims Reviews
  • Guide the organization in complying with insurance related federal, provincial, and local legal requirements by studying existing legislation, enforcing adherence to requirements, and advising leadership of needed actions
  • Develop and maintain processes and systems for appropriately managing claims related data
  • Manage the day-to-day activities of an administrative Claims Assistant
